The three problems people call “documentation software”
A forwarder searching for documentation software is usually trying to fix one of three different things, and the tools that win each are not the same.
Problem one is generation. You have shipment data and you need it turned into a commercial invoice, a packing list, a shipper’s letter of instruction, house and master bills, an arrival notice, and sometimes a certificate of origin or a dangerous goods declaration. You want that to happen once, from one record, with no re-typing. CargoEZ, Magaya, GoFreight, CargoWise, and Logitude compete here.
Problem two is capture. Documents arrive from shippers and overseas agents as PDFs and images, and someone on your team keys the line items into your system. Expedock and, to a degree, Shipthis attack this with AI extraction that reads the document and fills the fields.
Problem three is specialized forms. Your workload is heavy on certificates of origin, chamber submissions, export declarations, or hazmat paperwork, and a generic template pack does not cut it. Most buyers have a primary problem and a secondary one. Name the primary before you shortlist, because a capture tool and a generation tool solve almost nothing of each other’s job.
Where document automation breaks down in practice
The demo always looks clean. The failure modes show up on your files, and they are predictable.
Re-keying across documents. If the invoice, the packing list, and the bill each need party and cargo data entered separately, the tool has not automated anything. Test whether one entry populates every downstream form.
Party and product master data. Consignee addresses, notify parties, HS codes, and product descriptions should come from a maintained master, not free text. Tools without a real master data layer produce documents fast and wrong.
Regulated forms. Certificates of origin with chamber submission, USMCA certification, and dangerous goods declarations have rules that generic templates ignore. If these are in your mix, a tool that only does invoices and bills will push the work back to a person and a Word file.
Distribution and versioning. Once a document is produced it has to reach the carrier, the broker, and the consignee, and when it changes, everyone needs the current version. Email attachments with no version control is where disputes start.
Template automation versus document data capture
These are two engineering problems, and vendors are good at one or the other.
Template automation is a data-to-document engine. The tool holds your shipment record, your party master, and a library of form layouts, and it merges them. Document data capture is the reverse: a document-to-data engine. E-signature and getting documents to the consignee
Producing the document is half the job. The other half is signed delivery, and the tools split on how they handle it.
Native EDI and network distribution. CargoWise and Descartes send documents to carriers, brokers, and consignees over established messaging and network connections, with the current version tracked.
