  • Best for frontline teams: MaintainX, 4.8/5 on G2 with the cleanest mobile UX for technicians who hate computers.
  • Best mid-market IWMS: Eptura, unified space planning + asset management after the iOFFICE/SpaceIQ merger.

  • Best value CMMS: Limble CMMS, 4.8/5 on G2 and a genuine free tier that works.

Ten facilities management platforms compared on work orders, preventive maintenance scheduling, space planning, and IoT sensor integration. Which ones handle multi-site portfolios without a six-figure implementation, which ones are glorified ticketing systems with a maintenance label, and the pick for your building count, team size, and budget.

What is facilities management software?

Facilities management software helps building operations teams manage work orders, schedule preventive maintenance, track assets, and optimize space utilization across one or more buildings, centralizing every maintenance request so nothing falls through the cracks.

Tools like UpKeep, MaintainX, Limble, and Eptura differ on mobile access, IoT integration, space planning depth, and total cost as your building portfolio scales.

How we chose these tools

We compared each facilities management platform on published pricing across tiers, the recurring themes in real G2 and Capterra reviews, and hands-on feature checks for the workflows that matter to a growing facilities team. Work order management, preventive maintenance scheduling, asset tracking, mobile access for technicians, space planning, IoT sensor integration, and multi-site scalability. We weighed each tool against three rough portfolio profiles, single-site under 50K sqft, multi-site 5-50 buildings, and enterprise 50+ buildings, to flag where it fits and where it stops scaling. Pricing was verified directly with each vendor in August 2026. All G2 and Capterra ratings cited were pulled on August 9, 2026.

Best overall, mobile-first maintenance platform

What's great

  • Strongest mobile app in the CMMS segment, technicians can create work orders, attach photos, and log parts from the field without touching a desktop
  • Unlimited free requester and view-only users, so your entire building staff can submit tickets without adding paid seats
  • 24/7 phone, email, and chat support on every paid plan, not gated behind enterprise tiers

Watch-outs

  • Premium tier jumps to $55/user/mo, and most teams will need it within 6 months once they hit the inventory management and time tracking walls on Essential
  • Reporting on the Essential plan is thin, custom dashboards and advanced analytics require Premium or higher
  • Professional and Enterprise tiers are custom-quoted with no published pricing, making budget planning harder for growing teams
UpKeep is the safest pick for maintenance teams that live on their phones. The mobile app is genuinely best-in-class in the CMMS category, and the unlimited free requester model means your entire staff can submit work orders without touching the license count. 1,090 G2 reviews average 4.5/5. The consistent praise is around the mobile UX and support responsiveness. The consistent gripe is the Essential-to-Premium pricing cliff once you need inventory management. For teams under 20 technicians managing 1-10 buildings, UpKeep is the right starting point.

Best for frontline maintenance teams

What's great

  • 4.8/5 on G2 across 1,436 reviews, the highest-rated CMMS platform by a clear margin with the deepest review pool
  • Chat-style work order interface that technicians actually adopt because it feels like texting, not enterprise software
  • Free plan covers 2 users with unlimited work orders, genuinely usable for solo maintenance operators

Watch-outs

  • Free tier has no preventive maintenance scheduling, which is the core reason most teams buy a CMMS in the first place
  • Premium tier jumps to $49/user/mo where most mid-size teams will land once they need parts tracking and advanced reporting
  • Enterprise pricing is custom-only, and the gap between Premium ($49) and Enterprise is opaque
MaintainX is what happens when a CMMS is designed for the technician first, not the facilities manager’s dashboard. The chat-style interface makes work orders feel like messaging, and adoption rates reflect it. 1,436 G2 reviews at 4.8/5, the highest in the CMMS category. The free plan is real but limited. Once you need preventive maintenance (and you will), the Essential tier at $16/user/mo is where most teams start. Best for manufacturing floors, property management crews, and any team where the technicians have historically refused to use the CMMS.

What's great

  • 4.8/5 on G2 with 91% five-star ratings, tied with MaintainX for the highest satisfaction score in the CMMS category
  • 40+ G2 Winter 2026 awards including Easiest To Do Business With and Best Usability, a signal that the vendor experience matches the product
  • Genuine free plan with core work order management, not a 14-day trial masquerading as free

Watch-outs

  • Standard tier at $28/user/mo is 75% more expensive than MaintainX Essential ($16), a real gap for budget-conscious teams
  • Premium+ at $69/user/mo is where inventory management and time tracking live, and most serious maintenance teams need both within the first year
  • Volume discounts require multi-year commitments and 50+ user minimums, smaller teams pay full list price
Limble CMMS is the pick for maintenance teams that want a clean, modern interface without the enterprise complexity. The free plan is genuinely functional for small teams. 678 G2 reviews at 4.8/5 with 91% five-star ratings. Limble picked up 40+ G2 awards in Winter 2026. The per-user cost is higher than MaintainX or UpKeep at every tier, and that’s the trade-off for a product that requires less configuration to get running. Best for facilities teams at universities, hospitals, and property management firms that manage 5-30 buildings.

Best for K-12 and higher education facilities

What's great

  • Purpose-built for education and government, with facility scheduling, event management, and technology request modules that other CMMS platforms treat as afterthoughts
  • Unlimited requester model, only users who manage or close work orders count as paid seats, so the entire school staff submits tickets free
  • 4.7/5 on G2 (small review pool but consistent), and strong Capterra ratings across the education vertical

Watch-outs

  • Only 26 G2 reviews, a thin review base that makes it harder to verify claims at scale
  • No published pricing, every quote requires a sales conversation, and education-specific pricing models are hard to benchmark
  • Less suited for manufacturing or industrial maintenance workflows, the feature set is tuned for building operations and event scheduling
FMX is the right pick when your facilities team manages school buildings, university campuses, or government properties. The tool was built for that world, and it shows. Facility scheduling, event management, and technology request modules come standard, not bolted on. The unlimited requester model is genuinely useful when every teacher and administrator needs to submit maintenance tickets. 4.7/5 on G2 from 26 reviews. The thin review pool is a flag, but the reviews that exist are consistently positive. Pricing requires a quote, and the lack of published tiers makes comparison shopping harder.

Best for manufacturing and industrial maintenance

What's great

  • Rockwell Automation backing means deep integration with industrial control systems, PLCs, and OT networks that no standalone CMMS can match
  • Free plan includes 25 active preventive maintenance schedules, enough for a single facility to validate the tool before spending
  • 4.6/5 on G2 across 476 reviews with strong marks on asset management depth and reliability tracking

Watch-outs

  • Professional tier at $75/user/mo is the most expensive per-seat in this comparison, and most manufacturing teams will need it for the analytics and integration depth
  • The Rockwell ecosystem advantage works both ways, if your plant doesn't run Rockwell PLCs, the integration story is less compelling
  • UI feels more industrial than modern SaaS, technicians coming from MaintainX or Limble will notice the design gap
Fiix is the CMMS that makes sense when your maintenance operation connects to production equipment. Rockwell Automation acquired Fiix in 2020, and the integration with industrial control systems is the real differentiator. 476 G2 reviews at 4.6/5. Capterra puts it at 4.5/5 across 628 reviews. The free plan with 25 PMs is a genuine way to test it. Best for manufacturing plants, food processing facilities, and any operation where equipment uptime directly impacts revenue. Best mid-market IWMS for hybrid workplaces

What's great

  • Only platform in this comparison that unifies space planning, desk booking, visitor management, and asset maintenance in a single product after the iOFFICE/SpaceIQ/Condeco/Archibus merger
  • Strong Microsoft 365 and Teams integration, employees book desks and rooms without leaving the tools they already use
  • 789 G2 reviews across Eptura products with solid marks on space utilization analytics and desk booking UX

Watch-outs

  • No published pricing, Advanced and Power tiers require a sales quote with one-year minimum contracts
  • The post-merger product consolidation is still in progress, some legacy iOFFICE and SpaceIQ features haven't fully merged
  • Customer support response times are inconsistent, a recurring complaint across G2 reviews especially after the merger
Eptura is the result of merging iOFFICE, SpaceIQ, Condeco, Serraview, and Archibus into one platform. The pitch is compelling: space planning, desk booking, visitor management, and maintenance in a single tool. 789 G2 reviews across the Eptura product family average 4.3/5. The reality is that the merger is still settling. Some features work seamlessly, others feel stitched together. Best for mid-market companies (500-5,000 employees) managing hybrid office portfolios where space utilization data matters as much as maintenance tickets.

Best simple CMMS for small facilities teams

What's great

  • Clean, straightforward interface that requires minimal training, facilities staff can create and close work orders within the first hour
  • Strong Capterra ratings at 4.5/5 across 168 reviews, higher than its G2 score, suggesting the user base skews toward smaller teams who rate it favorably
  • Pricing starts at $35/user/mo with a clear tier structure, no custom-quote games for small teams

Watch-outs

  • Now folded into Eptura Asset, and the hippocmms.com domain redirects to Eptura, creating confusion about ongoing product identity and roadmap
  • 4.1/5 on G2 under the Eptura Asset listing (251 reviews), the lowest G2 rating in this comparison alongside IBM TRIRIGA
  • Customer support response times are a consistent complaint in G2 reviews, particularly after the transition to the Eptura umbrella
Hippo CMMS was the simple CMMS for small teams. It’s now Eptura Asset, and that transition is the story. The product still works well for single-site facilities teams that need work orders, PM scheduling, and basic asset tracking without enterprise complexity. 4.5/5 on Capterra across 168 reviews. 4.1/5 on G2 under the Eptura Asset listing with 251 reviews. The identity question is real: if you buy Hippo CMMS today, you’re buying Eptura Asset. Evaluate it as Eptura Asset, not as the standalone product it used to be.

Best for multi-site retail and restaurant chains

What's great

  • Purpose-built for multi-site brands managing hundreds or thousands of locations with external contractor networks, the vendor management depth is unmatched
  • Contractor marketplace with built-in compliance tracking, insurance verification, and performance scoring across your entire vendor network
  • Used by major retail and restaurant chains globally, the platform handles the scale that internal CMMS tools cannot

Watch-outs

  • No free trial and no published pricing, per-location contracts require a sales engagement and typical implementation takes four months
  • Contractor-side costs are meaningful, small contractors report $700-800/month and the 5% marketplace commission hits margins on sourced jobs
  • 4.1/5 on G2 from only 127 reviews, a thin pool for a platform that claims enterprise scale
ServiceChannel is not a CMMS. It’s a facilities management platform for brands that outsource maintenance across hundreds of locations to external contractors. The vendor management, compliance tracking, and contractor marketplace features are what set it apart. 4.1/5 on G2 from 127 reviews. 4.4/5 on Capterra with 125 reviews. Best for retail chains, restaurant groups, and multi-site commercial portfolios where the primary challenge is managing 50+ contractors across 100+ locations. Best enterprise IWMS for large CRE portfolios

What's great

  • Deepest lease accounting and real estate portfolio management in the segment, handles IFRS 16 and ASC 842 compliance that other CMMS tools ignore entirely
  • Sustainability and energy management modules with carbon tracking, ESG reporting, and environmental compliance baked into the platform
  • Enterprise scale that handles 500+ buildings across multiple countries with multi-currency, multi-language, and regulatory compliance

Watch-outs

  • 3.8/5 on G2 across 203 reviews, the lowest score in this comparison, with consistent complaints about the dated UI and implementation complexity
  • Implementation timelines of 9-18 months are standard, and the professional services cost often exceeds the software license in year one
  • Recently rebranded to IBM Maximo Real Estate and Facilities, and the transition has created confusion in the market about roadmap and support continuity
IBM TRIRIGA is the enterprise IWMS for organizations managing large corporate real estate portfolios. The lease accounting, sustainability reporting, and space optimization modules are unmatched at scale. 203 G2 reviews at 3.8/5, the lowest in this guide. The consistent complaint is ‘powerful but complex and slow.’ The implementation math is real: plan for 12+ months and a professional services budget that matches or exceeds the license cost. Best for Fortune 500 companies and large government agencies managing 500+ facilities. For anything under 50 buildings, every other tool in this guide is a better fit.

Best IWMS for global real estate compliance

What's great

  • Gartner Magic Quadrant Leader and Verdantix Green Quadrant Leader for IWMS, the strongest analyst recognition in the enterprise facilities segment
  • Deepest compliance module set for global operations, handles IFRS 16, ASC 842, and country-specific lease accounting standards across 40+ countries
  • Highly configurable platform with sustainability management, energy tracking, and ESG reporting built in rather than bolted on

Watch-outs

  • Only 19 G2 reviews, by far the thinnest review pool in this comparison, making independent verification of claims nearly impossible
  • Implementations take 9-18 months with pricing starting around $200K/year, this is a six-figure commitment before the first work order is created
  • Steep learning curve, facility managers and real estate professionals consistently cite the initial configuration complexity as the primary friction point
Planon is the IWMS that Gartner and Verdantix both name as a leader. The platform covers real estate management, facility operations, space utilization, sustainability, and lease accounting across global portfolios. The problem is that only 19 people have reviewed it on G2, making the 4.0/5 rating statistically meaningless. Pricing starts around $200K/year with implementations stretching to 18 months. Best for global enterprises managing real estate portfolios across multiple countries where lease accounting compliance (IFRS 16/ASC 842) is a hard requirement. If your operation is under 50 buildings in a single country, Planon is severe overkill.

Tools we considered but excluded

We evaluated more tools than the 10 you see above. These did not make the cut. Saying what we rejected, and why, is the editorial muscle most listicles skip.

  • Archibus: Now part of Eptura after the 2022 merger, no longer sold as a standalone product
  • eMaint CMMS: Owned by Fluke, solid for asset-heavy manufacturing but the UX and mobile app lag behind UpKeep and MaintainX at comparable pricing
  • Maintenance Connection (Accruent): Legacy CMMS with a dated interface, the Accruent acquisition has not modernized the product meaningfully
  • Corrigo (JLL Technologies): Strong in the JLL ecosystem but less useful as a standalone purchase, and the pricing model is opaque
  • FM:Systems: Acquired by Johnson Controls, product direction is unclear during the integration period

Honorable mentions

Solid tools that did not crack the main list but are worth tracking, especially for niche use cases.

  • Fracttal: Latin American CMMS with strong mobile UX and IoT integration, underrated for teams operating in LATAM markets
  • Facilio: AI-driven building operations platform with strong sustainability features, worth evaluating if energy management is a primary driver
  • eMaint CMMS: Fluke-backed CMMS with deep asset management for manufacturing, still a solid choice if your team already runs Fluke equipment

The three tiers of facilities management software

Facilities management software splits into three practical categories that get confused with each other constantly. This guide tests across all three.

CMMS (Computerized Maintenance Management System). Work orders, preventive maintenance, asset tracking, and mobile access for technicians. UpKeep, MaintainX, Limble, FMX, Fiix, and Hippo CMMS live here. If your primary job is keeping buildings running and equipment maintained, this is the tier to shop in. These tools are priced per user per month and deploy in weeks, not months.

Facility operations platforms. ServiceChannel sits in a category of its own. It’s built for multi-site brands that outsource maintenance to contractor networks across hundreds of locations. The vendor management, compliance tracking, and contractor marketplace capabilities don’t exist in standard CMMS tools. If your maintenance model is “manage the people who do the work” rather than “do the work,” this is your tier.

IWMS (Integrated Workplace Management System). Eptura, IBM TRIRIGA, and Planon operate at the enterprise level. These platforms combine space planning, desk booking, lease accounting, sustainability reporting, and maintenance management into a single system. Annual contracts start in six figures. Implementation timelines stretch to 18 months. If you manage fewer than 50 buildings, an IWMS is overkill.

The overlap between these tiers causes the most purchasing mistakes. A 10-building property management firm buys IBM TRIRIGA because a consultant recommended it, then spends 14 months and $400K on implementation for a problem that Limble solves at $28/user/mo. Start with the tier that matches your actual operation, not your aspirations.

Selection criteria for evaluating facilities management software

Six things to test during your evaluation period, before signing anything.

One, submit 20 real work orders on day one. Not demo tickets. Take actual maintenance requests from the last month and run them through the full lifecycle: submission, assignment, parts lookup, completion, and close-out. If technicians can’t figure out the mobile app without training, adoption will stall. MaintainX and UpKeep pass this test in under an hour. IBM TRIRIGA will take a week.

Two, configure five preventive maintenance schedules. Set up real PM tasks: HVAC filter changes, fire extinguisher inspections, elevator maintenance, roof inspections, and parking lot lighting checks. Test the scheduling flexibility (time-based vs meter-based vs condition-based), the notification system, and the compliance documentation. This is where cheap CMMS tools reveal their limits.

Three, test the mobile experience for a full week. Make your technicians use nothing but the mobile app. Log time, attach photos, scan asset QR codes, check parts inventory, and complete work orders entirely from a phone. The gap between a good and bad mobile CMMS is the difference between 90% adoption and 30% adoption. MaintainX and UpKeep lead here. Planon and IBM TRIRIGA lag.

Four, run a multi-site report. If you manage more than one building, pull a cross-site report showing work order volume by location, PM compliance rates, average time to completion, and cost per work order. This is where single-site CMMS tools break down. ServiceChannel, Eptura, IBM TRIRIGA, and Planon handle it natively. UpKeep and MaintainX need their higher tiers.

Five, test the requester experience. Have a non-maintenance staff member (an office manager, a teacher, a store manager) submit a work order. Time it. If it takes more than 90 seconds from “something is broken” to “ticket submitted with location and photo,” the tool will generate phone calls instead of tickets. UpKeep and FMX excel here with unlimited free requesters.

Six, export everything. Try to pull every work order, asset record, PM schedule, and cost entry from the last 90 days into a CSV. If this requires a support ticket or a “talk to your CSM” call, your data is not portable. Test this before signing a multi-year contract.

The facilities management pick by operation type

Single-site, under 10 maintenance staff. MaintainX Free or Limble Free. Start at zero cost. Upgrade to MaintainX Essential ($16/user/mo) once you need preventive maintenance scheduling.

Property management, 5-30 buildings. UpKeep Essential ($20/user/mo) or Limble Standard ($28/user/mo). Both handle multi-site work orders and PM scheduling. UpKeep wins on mobile; Limble wins on UX simplicity.

K-12 school districts and universities. FMX. The facility scheduling, event management, and technology request modules are purpose-built for education. No other tool in this comparison handles campus event scheduling as a first-class feature.

Manufacturing plants and industrial facilities. Fiix. The Rockwell Automation integration with PLCs and industrial control systems is the differentiator. If equipment uptime directly impacts production revenue, the $45-$75/user/mo is the cheapest insurance you’ll buy.

Multi-site retail, restaurant, and commercial chains (50+ locations). ServiceChannel. When you’re managing 200 contractor relationships across 500 locations, no CMMS handles the vendor network. The per-location pricing model makes sense at scale.

Hybrid office management, 500-5,000 employees. Eptura. Desk booking, space utilization analytics, and visitor management alongside maintenance. The post-merger product is still settling, but the unified pitch is real.

Enterprise CRE portfolios, 50+ buildings globally. IBM TRIRIGA if you need lease accounting and ESG reporting baked in. Planon if you need the deepest compliance coverage for operations across 40+ countries. Both require a 12-month implementation budget.

What’s changing in facilities management software in 2026

The CMMS market is consolidating fast. Hippo CMMS folded into Eptura Asset. Archibus merged into Eptura. FM:Systems was acquired by Johnson Controls. Corrigo operates under JLL Technologies. In 2024, there were 15+ independent CMMS vendors worth evaluating. In 2026, the list is shorter. This consolidation means fewer choices but also means the surviving products are better funded.

IoT-triggered maintenance is moving from pilot to production. UpKeep, Fiix, and MaintainX all shipped IoT integrations in 2025-2026 that automatically generate work orders when sensor readings cross thresholds. HVAC systems reporting abnormal pressure, refrigeration units drifting above temperature limits, vibration sensors flagging bearing wear. The technology works. The adoption barrier is that most facilities teams don’t have the sensors installed yet.

AI is showing up in work order triage and PM optimization. UpKeep’s Intelligence suite and Limble’s analytics now use historical work order data to predict equipment failures and suggest PM schedule adjustments. The impact is real but modest, most teams report 5-15% reduction in unplanned downtime after 6 months of AI-assisted PM optimization. Not transformative, but measurable.

Sustainability and ESG reporting are becoming table stakes for enterprise buyers. IBM TRIRIGA, Planon, and Eptura all added or expanded carbon tracking, energy management, and ESG reporting modules. For publicly traded companies with ESG disclosure requirements, this is no longer optional. For private companies under 1,000 employees, it’s still a nice-to-have that doesn’t justify the IWMS premium.

The real cost of switching facilities management platforms

Migration is the part nobody talks about during the sales demo. The actual cost of switching from one FM platform to another, broken down by operation size.

Under 20 technicians, single-site. 2-4 weeks, $0-$5K in migration effort. Export work order history and asset records as CSV. Rebuild PM schedules manually. Most CMMS vendors offer free migration support at this scale. The risk is low.

20-100 technicians, multi-site. 4-8 weeks, $5K-$25K in migration effort including data cleanup, PM schedule recreation, and user training. The hidden cost is the 2-3 weeks of parallel operation where teams run both old and new systems. Plan for 10% productivity loss during the transition.

Enterprise IWMS migration. 6-18 months, $100K-$500K+ in professional services. Lease data migration alone can take 3 months. Space planning configurations don’t transfer between platforms. The consultant who implements the new system will cost more than the software license for year one.

The biggest mistake is trying to migrate everything. Start with active assets and open PMs. Historical work order data older than 12 months is rarely referenced after migration. Archive it, don’t migrate it.

Methodology

CEOPickz evaluated each facilities management platform on work order management, preventive maintenance scheduling, asset tracking, mobile app quality, space planning capabilities, IoT integration depth, multi-site scalability, and total cost of ownership across three years. G2 and Capterra ratings were verified on August 9, 2026.

Pricing was confirmed through vendor websites, published rate cards, and direct quotes where published pricing was unavailable.

Frequently asked questions

How much should facilities management software cost per user in 2026?

CMMS platforms for maintenance teams run $16-$75/user/mo. Full IWMS for enterprise real estate management starts at $200K+/year. The hidden cost is implementation, which typically runs 1-3x the annual license for enterprise platforms and 2-4 weeks of setup time for CMMS tools.

CMMS vs IWMS, what is the actual difference?

CMMS handles work orders, preventive maintenance, and asset tracking. IWMS adds space planning, lease accounting, real estate portfolio management, and sustainability reporting. Most teams under 50 buildings need a CMMS. Past 50 buildings with lease obligations, you need an IWMS.

Can a CMMS replace spreadsheet-based maintenance tracking?

Yes, and the payback is fast. Teams tracking work orders in spreadsheets typically lose 2-4 hours per technician per week on admin. A $20/user/mo CMMS pays for itself within 30 days if you have three or more technicians. The bigger win is preventive maintenance compliance, which spreadsheets cannot enforce.

How long does facilities management software take to implement?

CMMS platforms like UpKeep, MaintainX, and Limble deploy in 1-4 weeks. FMX and Fiix typically need 4-8 weeks with data migration. Enterprise IWMS platforms like IBM TRIRIGA and Planon run 9-18 months with professional services teams. ServiceChannel averages four months for multi-site deployments.

Do facilities management tools integrate with building management systems and IoT sensors?

Most modern CMMS platforms offer IoT integration, but the depth varies. Fiix has native Rockwell Automation integration for industrial sensors. UpKeep and MaintainX connect to IoT platforms via API. IBM TRIRIGA integrates with IBM Maximo for sensor data. Eptura supports building management system connections. The critical question is whether the integration is native or requires middleware, because middleware adds cost and failure points.
